The back-office swallowed the week.
Actinuum operates in vocational training, where the back-office is the actual product: certifications, convocations, conventions, attendance, satisfaction, billing, all on calendars that change weekly. They had a stack of Excel files and five disconnected tools, each configured slightly differently per region.
02 / Build
One platform, the whole loop.
We built one platform covering the whole loop.
- ERP side: single source of truth for programmes and sessions, the trainer and learner directory, automated document generation, an action centre that turns every incoming obligation into a tracked item instead of a sticky note.
- Integrated LMS: 16 learning modalities (micro-learning, certifying paths, exercises) with attendance, trainer evaluation, satisfaction surveys, in-platform chat.
- Paperwork, automatic: convocations, conventions and public-body filings go out on their own once the operations data is in.
- Audit trail included: the trail writes itself while the work gets done.
Revenue tripled. Headcount didn't.
03 / Outcome
Three times the volume. Same headcount.
Revenue tripled, capacity for roughly three times the training volume, a sharp drop in human errors, and a new programme line opened without a hiring cycle.
What changed wasn't the kind of work the team did: it was the volume that could pass through them without breaking. The paperwork that used to swallow a working week per audit cycle now happens on its own while a session runs.
